DeedTrail

DeedTrail is a web app (with optional mobile capture) for libraries and archives to create defensible provenance and custody records for physical items and born-digital files. Staff scan a QR label or accession number, then log transfers, condition checks, digitization steps, and access events. The system generates a tamper-evident audit trail using cryptographic hashing and time-stamping, producing exportable reports for donors, auditors, insurers, and legal requests. An AI assistant helps draft standardized condition notes and flags anomalies (e.g., missing steps, inconsistent dates, unusual access patterns) but never replaces human sign-off. This is not a full collection management system; it integrates with existing ILS/archives systems via simple identifiers and exports. The realistic value is reducing “we can’t prove what happened” moments that cost time, credibility, and sometimes money.
