VendorVault

VendorVault is a web app (with a lightweight mobile companion) that centralizes contractor and vendor compliance for facilities teams: COIs, W-9s, licenses, safety docs, background checks, and site-specific requirements. Instead of chasing PDFs across email threads, it gives each vendor a self-serve portal to upload documents, e-sign acknowledgements, and receive automated reminders before expirations. Facilities managers get a real-time compliance dashboard by site, trade, and work order, plus a “no-docs-no-access” gate for scheduling. The AI component reads uploaded documents, extracts key fields (policy limits, effective dates, named insured), flags missing endorsements, and detects obvious fraud/alterations. It also generates audit-ready reports for insurance, legal, and procurement. This is not a full CMMS replacement—it's a focused compliance layer that plugs into existing work order tools and reduces risk, delays, and admin time.
